Membership Secretary

First United Presbyterian Church

PURPOSE

To provide for the careful entry and consistent updating of membership records; to strengthen ministry to visitors and members; to support the work of the Church Office (clerical and phone)

ACCOUNTABLE TO

Co-Pastors, with daily oversight and assignment of specific duties through the Office Manager

HOURS

12 hours/week, including Fridays, 9:00-3:00 p.m., and one other six-hour day, or two three-hour days

RESPONSIBILITIES

Keeps the church Register and database current, and accurately manages all recordkeeping related to membership
  • Membership rolls
  • Church directory
  • Mailing and membership labels and label lists
  • Membership, baptismal, confirmation, and ordination certificates
  • Membership letters of transfer (in and out)
  • Monthly directory updates and membership changes for church newsletter
  • Session and Committee rosters
  • Memorials logs and honoraria, correspondence with families and donors
  • Time and Talent commitments
Works closely with the Welcoming Committee, Belonging Subcommittee, and Co-Pastors in organizing and distributing contact information regarding church visitors and new members to the appropriate individuals
  • Records Sunday morning member and visitor attendance (from the Friendship Pads) and the attendance counts for both services (provided by the ushers)
  • Prepares welcome letters to all first-time visitors who provide e-mail or street addresses
  • Prepares and e-mails visitor attendance forms and contact records to the Co-Pastors and the moderator of the Welcoming Committee each week
  • Prepares and e-mails new member information (as individuals join) to the Belonging Subcommittee’s moderator and members before each Belonging meeting
  • Keeps all visitor information current in the database
  • Prepares welcome packets and new member orientation materials for the Welcoming Committee
  • Orders nametags for all new members and for other members and visitors, as requested
Assists the Clerk of Session with clerical duties, especially regarding membership
  • Records all changes for the church Register from the Session Minutes and Clerk’s reports
  • Works closely with the Clerk in preparing a General Assembly Annual Statistical Report
  • Provides requested printed documents for Session information (from records)
Assists the Office Manager with office duties (as requested)
  • Answers phones and directs calls
  • Serves as a receptionist, receiving visitors and members
  • Helps with preparation of worship bulletins (Sundays, special services, memorials, other), newsletters, materials and mailings, particularly in high activity times and during the Office Manager’s vacation times
  • Does general filing and maintenance of records
  • Takes the initiative to request and assist with additional office tasks whenever work related to membership is up-to-date

  • Proficient in various computer skills: Word, Excel, Power Point, Publisher
  • Comfortable learning and using new electronic technology
  • Confident and skilled in the use of office printers, copy and folding machines, fax machines
  • Committed to accuracy and detail, including proofreading and double-checking information
  • Able to handle frequent interruptions graciously
  • Sensitive and committed to appropriate confidentiality

Food Events Coordinator

First United Presbyterian Church
Fayetteville, Arkansas

PURPOSE

To coordinate and facilitate the food events of the congregation and community with skill, friendliness, warmth and welcome

ACCOUNTABLE TO

Co-Pastors, with oversight and assignment of specific duties through the Office Manager and in cooperation with the Facilities Manager

HOURS

Up to 10 hours/week, including Sundays (9:00 a.m-1:00 p.m. minimally), all Wednesday evenings when food activities occur (4:30-7:30 p.m.), and for scheduling and carrying out other food event responsibilities

RESPONSIBILITIES

Serves as a host/hostess, orienting church and community groups to the use of the building, particularly the kitchens and property related to the kitchens
  • Schedules appointments and conversations with event leaders
  • Meets with and assists in training all new event leaders
Receives building use forms (from church and community groups) and handles communication with these groups
  • Gives copies of building use forms to the Office Manager, Facilities Manager and Clerk of Session for calendar approval
  • Keeps an up-to-date food events calendar
  • Ensures community-use events are on Session Consent Agenda each month
  • Coordinates table and equipment set-up for all church events with the Facilities Manager
  • Prepares building use checklists on the care and safety of property for volunteers and community groups
Acts as the “point person” for Sunday morning food events, leading and providing primary support (alongside committee volunteers) for fellowship time, brunches, receptions and/or meals (including all set-up and clean-up)
  • Sets up food and beverages for Sunday events (including coffee)
  • Ensures that committee moderators have located helpers for their food events
  • Handles early meal preparations (purchasing of supplies and bulk food staples; selection of linens and décor)
  • Works alongside of committee volunteers during food events, equipping them to lead
  • Stays with committee volunteers until the kitchen is returned to clean and safe order
  • Completes an evaluation with others who were involved in the food event
Supports church committees by providing names of volunteers to help with meal décor, set-up, preparation, and clean-up, and by preparing equipment for off-site use
  • Provides church directories, committee lists, and Time and Talent sheets to committee moderators
Ensures that the Main Kitchen and Activity Kitchen are checked frequently for organizational, health and safety concerns
  • Returns kitchens to good order and to clean, safe use after scheduled events
  • Alerts Facilities Manager of any custodial, maintenance, or safety needs
  • Keeps Office Manager aware of any safety concerns (for information)
  • Purchases supplies and replaces lost property, as needed; contacts groups immediately if property is missing, has not been returned or is not working
Coordinates all Wonderful Wednesday meals with the caterer, and assigns and reminds Kitchen Crew volunteers Follows up with the Reception Coordinator regarding food for memorial receptions After receiving training from volunteers who know the kitchen use procedures well, schedules regular training for all volunteers using the kitchens
  • Leads training, as needed, alongside others who understand safe kitchen use well
  • Prepares printed materials and assists with technology related to training
Keeps an up-to-date, user-friendly kitchen use manual in the Church Office and Main Kitchen Keeps all forms and procedures related to kitchen use up-to-date Handles all kitchen use signage, postings, handouts, and manual information Schedules volunteers quarterly for deep cleaning of the Main Kitchen and Activity Kitchen
